# Members and permissions

> Invite teammates to a workspace, make them admins, and decide whose posts need approval.

Invite as many people as you want to a workspace, on every plan. Each workspace has its own members: inviting someone to one workspace does not give them access to the others.

## Two settings per member

There are no roles to pick. Each member has two settings:

* **Admin** — *Can manage members and workspace settings.* Admins manage members, channels, webhooks, API keys and the workspace's general settings.
* **Publishing** — **Publishes directly** or **Needs approval**. *Posts from members who need approval wait for an admin or a member who publishes directly.*

Admins always publish directly. The **account owner** is always an admin, publishes directly, and is the only one who can manage billing and create or delete workspaces.

The members list shows each person as **Owner**, **Admin**, **Member** (publishes directly) or **Needs approval**.

## What each person can do

| Action | Needs approval | Publishes directly | Admin | Owner |
| - | :-: | :-: | :-: | :-: |
| Write posts, ideas and templates; add notes | ✓ | ✓ | ✓ | ✓ |
| Use signatures and labels | ✓ | ✓ | ✓ | ✓ |
| Connect their own AI assistant through [MCP](/knowledge-base/settings/mcp) | ✓ | ✓ | ✓ | ✓ |
| Schedule, queue and publish without approval | | ✓ | ✓ | ✓ |
| Approve or reject other members' posts | | ✓ | ✓ | ✓ |
| Delete other members' posts | | ✓ | ✓ | ✓ |
| Make a post [recurring](/knowledge-base/publish/recurring-posts) | | ✓ | ✓ | ✓ |
| Use [Repurpose](/knowledge-base/repurpose) | | ✓ | ✓ | ✓ |
| Connect, configure and disconnect channels | | | ✓ | ✓ |
| Invite, edit and remove members | | | ✓ | ✓ |
| Manage webhooks and [API keys](/knowledge-base/settings/api-keys) | | | ✓ | ✓ |
| Rename the workspace and change its logo | | | ✓ | ✓ |
| Create and delete workspaces, manage billing | | | | ✓ |

Members who need approval can delete only posts they wrote, or a request they made while it is still pending.

A member who needs approval saves posts with **Save and request approval**. The post waits as **Pending approval** until someone who publishes directly approves it. This applies to posts created through MCP as well. See [Approvals](/knowledge-base/publish/approvals).

## Invite a member

<Steps>
  <Step title="Open Members">
    Go to **Settings → Members**, or click **New** → **Invite a team member** in the sidebar.
  </Step>

  <Step title="Invite Member">
    Enter the person's **Email**, set **Admin** and **Publishing**, then click **Send Invite**.
  </Step>

  <Step title="They accept">
    The invitation email opens the invite page, where they **Accept Invite** (logging in or creating an account first) or **Decline Invite**.
  </Step>
</Steps>

The invitation email is sent in your interface language. Waiting invitations are listed with the members, marked **Pending Invites**, with the access they will get.

An email that already belongs to another TryPost account cannot be invited: ask for a dedicated work email instead.

## Change a member's access

Open the member's menu (⋮) and choose **Edit access**, change **Admin** or **Publishing**, then **Save**. You cannot change your own access or the account owner's.

## Remove a member or cancel an invitation

* **Remove** (from the same menu) — the member loses access to every resource of this workspace. Type the member's email address to confirm.
* **Cancel invitation** — the invite link stops working. Type the invited email address to confirm.

You cannot remove yourself or the account owner.

Removing a member also revokes the API keys and MCP connections they created for this workspace. A member who no longer belongs to any workspace of the account is permanently deleted. The posts they created stay in the workspace.

## Waiting for the account owner

On TryPost Cloud, if the account has no active subscription, members see **Waiting for the account owner** until the owner finishes checkout. The page updates on its own once the subscription is active. See [Plans and billing](/knowledge-base/settings/plans-and-billing).
